Products (Main Menu / Data / Inventory / Products)

 

 

Overview

 

The products table serves as the central repository for all of the products in the store's inventory for resale.

 

Actions

 

Find - Selects and displays a product (see Find Dialog)

 

New - Adds a new product.

 

Edit - Edits the current product.

 

Delete - Permanently deletes the current pricing family.

 

Save - Saves changes to the current product.

 

Cancel - Cancels the current operation.

 

Close - Closes the Products form.

 

Keys - Displays the on-screen keyboard (see On-Screen Keyboard).

 

History, Activity - Display activity for the current product (see Product Activity).

 

History, Sales - Displays sales for the current product (see Product Sales).

 

Import - Opens the Import Data Dialog (see Import Data)

 

Export - Opens the Export Data Dialog (see Export Data)

 

List - Displays and optionally prints a list of products (see Product List).

 

Help - Displays the help menu (see Help Menu).

 

Tool Tips - Hover the mouse cursor over any field descriptor to display a brief description.

 

Fields

 

PLU / UPC Number - The PLU (Product Lookup) Number can contain letters and numbers and be up to 14 characters in length. The PLU Number is typically the UPC, EAN or GSA-1 bar code number assigned to the item by the manufacturer.

 

Examples of UPC/EAN/GSA-1 bar code numbers:

 

UPC-E   04128601            (8 digits)

UPC-A  644209411405     (12 digits)

EAN       7290002752349   (13 digits)

GSA-1    01234567890123 (14 digits)

 

Note: It is strongly recommended to always enter the complete number including the lead and check digits.

 

In the above UPC-A example, 6 is the lead digit and 5 is the check digit.

 

Entering Price Embedded Bar Codes produced by labeling scales

 

UPC-A Codes (12 digits) starting with 2 - The PLU number is a 5 digit number starting at positions 2

Example: 231407214718

 

The PLU number would be 31407

 

EAN Codes (13 digits) starting with 02 -  The PLU number is a 5 digit number starting at positions 3.

Example: 0231407214718

 

The PLU number would be 31407

 

Note: PLU # 00000 is reserved by the system.

 

Alias List - The Alias List allows adding alternate lookups for the current PLU. An alias can contain alpha and numeric characters and can be up to 14 characters in length. An Alias PLU number is typically a new UPC, EAN or GSA-1 bar code number assigned to the item by the manufacturer. In most cases Alias PLU numbers are used for packaging changes made by the manufacturer.

 

Examples of UPC/EAN/GSA-1 bar code numbers:

Case - The Case PLU (Product Lookup) Number can contain letters and numbers and be up to 14 characters in length. The Case PLU Number is typically the UPC, EAN or GSA-1 bar code number assigned to the item by the manufacturer. In recent years this number has been enlarged to the 14 digit GTIN (Global Trade Identification Number, also referred to as GSA-1) format.

Full Description - The full product description field is alphanumeric and can be up to 80 characters in length.

Procter & Gamble Tide with Bleach Alternative Original Scent 78 Loads 150 oz.

 

POS Description - The POS item description field is alphanumeric and can be up to 20 characters in length.

 

Example:

Tide 150 oz

 

Department / Subdepartment - Select the yellow folder on the right to display a list of departments to choose from (see Departments). Once a department is selected you will be presented with a list of subdepartments to choose from. (see Subdepartments). The use of subdepartments is optional.

 

Example:

Household / Laundry Soap

 

Brand - Select the yellow folder on the right to display a list of brands to choose from. (see Brands)

 

Example:

Tide

 

Family - Select the yellow folder on the right to display a list of pricing families to choose from. (see Families)

 

Scale - Select the folder on the right to display a list of scale options to choose from.

 

If the item label is being printed by the scale and the scale(s) are being controlled by E-Plum software, be sure to select the appropriate synchronization option.

Size - Used to store the size of the item.  This field is used in conjunction with the Unit of Measure.

 

Example: 

17.5 oz (where 17.5 is the size and oz is the unit of measure)

 

Unit of Measure - Used to store the unit of measure for the item.  This field is used in conjunction with the Size field.

 

Example:

17.5 oz (where 17.5 is the size and oz is the unit of measure)

 

Food Stamps - The Food Stamp check box will control whether or not this item can be paid for by food stamps. When items are paid for by food stamps, any applicable sales tax is forgiven.

 

Example:

If Corn Flakes sell for $4.00 and carry a 5% tax then the total would be $4.20 if paid by cash, but only $4.00 if paid by food stamps. The term Food Stamps actually refers to a time when paper vouchers were issued to qualified participants of this program. Today, most states issue plastic cards called EBT cards. These cards work like debit cards and customers can present them at the time of purchase. These cards actually carry two balances; EBT Food and EBT Cash. Either balance can be used to pay for purchases but only EBT Food will forgive the tax.

 

WIC - Used to indicate whether or not the item qualifies for the WIC program.

 

Check the box if the item qualifies and your store is set up to accept WIC payments.

 

WIC Fruits and Vegetables - Used to indicate whether or not the item qualifies for the WIC Fruits and Vegetables program.

 

Check the box if the item qualifies and your store is set up to accept WIC Payments.

 

Taxes - The tax grid is designed to handle multiple tax zones or jurisdictions across an enterprise by allowing up to three taxes per tax zone per product. The zone number and zone name fields are read-only. Tip: Use the up/down control to the left of the grid to change the size of the grid. Settings are saved on exit.

 

          Tax 1 -3  - Each item can have up to three different taxes assigned. Select the yellow folder on the right to display a list of taxes to choose from. (see Taxes)

 

Prices - The price grid is designed to handle multiple price zones across an enterprise by allowing different vendors and pricing for each zone. The zone number and zone name fields are read-only. Tip: Use the up/down control to the left of the grid to change the size of the grid. Settings are saved on exit.

 

Vendor - Select the yellow folder on the right to display a list of vendors to choose from. (see Vendors)

Item Number - The Item Number can contain alpha and numeric characters and can be up to 14 characters in length. This is typically the number associated with this item when ordering from the vendor. Item Numbers are typically unique to the vendor.

Price Formula - Select the yellow folder on the right to display a list of pricing formulas to choose from. (see Formulas)

 

Pack Size / Case Cost - Used to store the pack size and the cost of the item. When either the Pack Size or Case Cost is edited the resulting profit margin and markup percentage will be calculated.

 

Examples:

·12/$18.00 ( case cost is $18.00 with 12 items in a case )

·24/$12.00 ( case cost is $12.00 with 24 items in a case )

 

Profit Margin - Margin is the percentage of the final selling price that is profit. This field can be used to automatically calculate a selling price and the markup percentage based on the margin amount entered.

 

Example:

To achieve a 33% profit margin enter 33.

 

Note regarding open rings:

When the retail price is zero the margin can be used to record a cost to your history files even when the cost is left at zero on the file.

To record a cost of 0, set the margin at 100

To record a cost of 100% (as in the case of a hash department), set the margin at 0

To record any other cost set the margin accordingly

 

 

Markup Percentage - Markup is the percentage of the cost price you add on to get the selling price. This field can be used to automatically calculate a selling price and the profit margin based on the markup percentage entered.

 

Example:

To achieve a 50% markup enter 50.

 

Multiplier / Unit Price - Used to store the quantity multiplier and price of the item. When either the multiplier or unit price is edited the resulting profit margin and markup percentage will be calculated.

 

Examples:

·1/$1.59 ( 1 for $1.59 )

·3/$1.00 ( 3 for $1.00 )

 

Link PLU - A link PLU is a secondary PLU that will follow the primary PLU. A common use for a link PLU is when a bottle deposit is attached to the first or primary PLU. Select the folder on the right to display a list of products to choose from.

 

Example: 

PLU 123 is a bottle of soda that sells for $1.50. PLU 456 is a bottle deposit that charges $0.05. On PLU 123 you would select the PLU 456 as the link PLU. When the Soda sells the bottle deposit will automatically follow in the same quantity as the soda being sold. 

 

Stores - The store grid is designed to handle multiple stores by allowing individual counts for each location as well as whether or not the item is carried at a particular store. Tip: Use the up/down control to the left of the grid to change the size of the grid. Settings are saved on exit.

 

Carries - Used to signify the item is carried and sold at this store. When unchecked the item cannot be rung up at the register.

 

Register Button - Used to create a direct PLU for the point of sale that can be sold by pressing the button without the need to scan the product or enter the PLU number. A common use of POS buttons would be for items that do not have bar codes such as a cup of coffee or a newspaper.

                              Button Text - The text you want to appear on the POS button. Text is limited to 24 characters.

Minimum Stock - The Minimum Stock, Maximum Stock, Pack Size, On Hand and On Order fields are used in a formula to determine when a reorder should occur.

 

Example:

Pack Size: 12 (12 items to a case)

Minimum Stock: 2 (2 cases)

Maximum Stock: 4 (4 cases)

On Hand: 22 (22 individual items)

 

When reordering the following formula will be used:

 

if ON HAND / PACKSIZE <= MIN STOCK + ON ORDER then REORDER = MAX STOCK - ON ORDER - ON HAND / PACK SIZE

 

In the above example a reorder for 2 cases is needed. The reorder quantity will never bring the  quantity on hand more than the maximum.

 

 

Reorder Quantity - The Minimum Stock, Maximum Stock, Pack Size, On Hand and On Order fields are used in a formula to determine when a reorder should occur.

 

Example:

Pack Size: 12 (12 items to a case)

Minimum Stock: 2 (2 cases)

Maximum Stock: 4 (4 cases)

On Hand: 22 (22 individual items)

 

When reordering the following formula will be used:

 

if ON HAND / PACKSIZE <= MIN STOCK + ON ORDER then REORDER = MAX STOCK - ON ORDER - ON HAND / PACK SIZE

 

In the above example a reorder for 2 cases is needed. The reorder quantity will never bring the  quantity on hand more than the maximum.

 

On Hand - The current quantity on hand for this item. This field is automatically incremented when merchandise is received or returned and decremented when merchandise is sold. Pack Size: 12 (12 items to a case)

Minimum Stock: 2 (2 cases)

Maximum Stock: 4 (4 cases)
